TOUR OPERATIONS ADMINISTRATOR

OVERVIEW

Outpost Overseas is a Scottish-based Golf Tour Operator, delivering exceptional golf travel experiences.

We are looking for an organised, motivated, and detail focused individual to join our team as a Tour Operations Administrator. This role is central to the smooth delivery of our trips, working closely with suppliers, the Managing Director, and Client Experience Managers to ensure every detail is handled with care and precision.

KEY RESPONSIBILITIES

Trip Operations and Supplier Co-ordination

  • Book and manage all elements of client trips, including golf, accommodation, and transportation.
  • Manage supplier payments and track invoices and expenses accurately.
  • Liaise closely with golf clubs, hotels, transport providers, and other partners to ensure confirmed and well-coordinated arrangements.
  • Provide concierge support for clients, including restaurant bookings and additional services where required.

Other Responsibilities

  • Support the creation and production of itineraries for new client trips.
  • Research and write content for bespoke itineraries and the Outpost Overseas website.

QUALITIES WE’RE LOOKING FOR

  • Exceptional organisational skills and close attention to detail. This is essential to delivering seamless golf travel experiences.
  • A customer focused mindset, with a proactive, responsive, and solution-oriented approach.
  • Confidence working with numbers, including tracking invoices, payments, and budgets.
  • Strong written and verbal communication skills, with the ability to build positive working relationships with suppliers and colleagues.
  • Comfortable with technology and online systems used for booking, documentation, and communication.
  • A flexible and adaptable approach, with an understanding that responsibilities may evolve as the business grows.
  • Experience in leisure, hospitality, or travel is desirable but not essential.
  • An interest in golf is beneficial but not required.
  • A positive, collaborative team attitude.

EMPLOYMENT DETAILS

Salary: £30,000 to £35,000 per annum, depending on experience, with a discretionary bonus linked to performance.

Working Hours: 37.5 hour working week, with some flexibility around core hours. The role includes occasional weekend on call client contact, approximately four to five weekends per year for which you will be paid an out of hours fee.

Location: Hybrid. Based at our Edinburgh Park office near Edinburgh Airport, with an expectation of two days per week in the office.
